My client who are a multinational Insurance and Risk Management organisation based in London are looking to employ an experienced and well-rounded Business assistant that takes pride in their work to support their Casualty division.
The successful candidate would desirably have A level standard education.
What the role entails:
Some of the main duties of the Business Assistant will include:
- Support the Head of Casualty with general administration tasks to ensure the team always runs smoothly.
- Aid the head of casualty to achieve an optimal cost base.
- Arrange and host client events / meetings.
- Account set up for individual risks.
- Account allocation for brokers and broker assistants.
- Scan receipts and input data on expense claims ensuring they submit their claims on time.
- Arrange meetings for the team members.
- Make lunch or dinner reservations as required.
- Arrange travel including flights, hotels, foreign currency, ESTAs for the team.
- Produce travel itineraries containing all travel information.
- Scan documents to ensure there is always an electronic copy on the in-house computer system.
- Prepare and keep a record of trip reports & itineraries.
- Keep a copy of invoices relating to expenses, i.e. invoices from Travel Agents, Lloyd's catering, Executive Cars, WSIA fees, AAMGA fees.
- Assist the team with other tasks and administrative requests as required.
What experience you need to be the successful Business Assistant:
- Proficient knowledge of Microsoft Office
- Must be personally well organised
- Excellent attention to detail and the ability to keep information confidential
- Educated to A level standard - needs a good command of English to compose business correspondence
- Strong verbal skills - ability to communicate with all levels of staff within the division
- Ability to prioritise work effectively
