Brief

Contract Administrator or Administrator needed for a multi national utilities organisation based in Blackburn. They are looking to employ an experienced and well-rounded Contract Administrator that takes pride in their work, who is customer driven and has proven IT skills. What the role entails:

Some of the main duties of the Contract Administrator will include:

  • Liaise with Contract Managers, Supervisors and Workflow Managers to schedule all sub-contractor PPMs
  • Renew contracts with Sub contractors and raise purchase orders to cover the scheduled visits
  • Logging and assigning jobs on CAFM system ensuring system is continuously updated
  • Upload all statutory and other client required documentation to the company Direct or specified customer portals
  • Ensure CAFM (Planon) is up to date at all times, extracting key MI when requested
  • Chase appropriate party for supporting information (subcontractor & engineers reports, subcontractor & supplier invoices) if not in place & file accordingly
  • First point of contact for engineers and sub-contractors regarding scheduling queries
  • Provide a routine clerical and administrative support to the engineering team using the companies systems.
  • Provide a friendly and efficient front-line service, both in person and on the telephone, handling direct enquiries from the client, Line Management and sub-contractors
  • Ability to use IT packages to an intermediary level, including Microsoft Office systems to record and maintain department records.

What experience you need to be the successful Contract Administrator:

  • Prior experience of CAFM systems (SAP, Basware, Coupa, Maximo & Planon) essential
  • Computer literate with a good working knowledge of Microsoft applications including Excel and Outlook
  • Demonstrate good team working ability with excellent communication skills
  • Ability to work in a focused manner with the ability to prioritise workload and requests Keen awareness of customer focus and brand image
  • Experience of purchasing and managing supplier delivery
  • Technical knowledge within the M&E industry essential
  • Health and safety awareness
