Warehouse and Facilities Co-Ordinator

Brief

Warehouse and Facilities Co-Ordinator or Warehouse Operative needed for a highly reputable and leading Defence organisation based in Westbury who are looking to employ an experienced and well-rounded Warehouse and Facilities Co-Ordinator that takes pride in their work.

What the role entails:

Some of the main duties of the Warehouse and Facilities Co-Ordinator will include:

Goods Inwards

  • To receive in and record all goods delivered to the company, including retention of copies of all documentation received with the goods.
  • Carry out inspection of goods.
  • To book in all goods received on to the computer system and correlating the items received to the purchase order to ensure our order requirements are fulfilled, process the Purchase Order on the Company's Procure to Pay system.

Stock Control

  • To keep control of all stock parts and to maintain stock levels agreed by the Asset Team.
  • Maintain the goods in / out / stores areas in accordance with the requirements for Health & Safety, Insurance, and to maintain it in a tidy and orderly fashion.
  • To maintain data quality, batch control and traceability of all parts in accordance with the required processes.
  • To issue stock parts (including required documentation, e.g. CofCs or condition labels etc) to Programmes as required and to update the system accordingly.
  • Complete regular stock checks.
  • Maintain records of storage conditions.

Goods Out

  • Accurately pick stock items in accordance with requirements and to ensure conformance to the business process and contractual requirements.
  • To package and label all orders for safe delivery to the customer and provide weights and dimensions to the Freight co-ordinator for Courier quote.
  • To liaise with the other areas of the business as per our internal systems.
  • Receipt in Goods on the SAP P2P System.
  • Raise Purchase Requests.
  • Raise Asset Movement Requests (AMRs).

Facility Management
Act as point of contact for Facilities Management Contract liaising with service provider Almeda, this may include but is not limited to:

  • Arranging planned preventative maintenance activities, annual maintenance tasks e.g., alarm checks, fire extinguisher testing and lift maintenance.
  • Manage out of hours call out support for the Intruder and Fire alarm, first aid and fire warden rotas.
  • Coordinate and organise site contractors and sub-contractors (cleaning/waste providers/electrical contractors/engineers etc.) raising the necessary clearance forms.
  • Oversee the Maintenance contract Budget.
  • Oversee the Landlord's Maintenance fund.
  • Liaise with the Landlord on all matters relating to the upkeep of the Business Units.
  • Process and approve invoices for payment in relation the Building Maintenance Contract.
  • Be a key holder.

Act as ESH representative point of contact for site employees and contract staff liaising with ESH Advisor/Manager, this will include but is not limited to:

  • Attend and assist in ISO 14001 and ISO 45001 site audits and take action on non-compliances, observations and opportunities for improvement.
  • Coordinate weekly fire tests, fire-fighting equipment inspections and upkeep of the facility fire records.
  • Implement business ESH objectives and targets.
  • Provide local ESH advice and direction to facility users, including employees, visitors and contractors.
  • Review contractor generated paperwork, seek prior approval for work to commence and issue permits to work.
  • Undertake ESH inspections in accordance with the company's Risk and Self-Assessment Tool and local inspection programmes.

What experience you need to be the successful Warehouse and Facilities Co-ordinator:

  • Good computer skills, competent in the use of Microsoft Office, Word, Excel etc.
  • Fork Lift Truck license (counterbalance)
  • Full and clean driver's license
  • SC Clearance
  • Previous warehouse experience and skills are desirable
