Business Support Manager

Permanent

Business Support Manager needed for a well-established utilities and construction organisation. Reporting to the Account Director, the Business Support & Reporting Manager will be responsible for managing day-to-day administration and reporting activities of the services provided to the account. The locations included cover all manufacturing and corporate sites within the UK. You will also directly manage 4 other employees and the multitude of administrative and support activities covered by the team, including but not limited to Finance, PPM & Compliance and Reactive & Small Works, ensuring peak performance is reached by all.

The specific job description of the Business Support Manager :

For this role in particular the Business Support Manager:

  • Manage account support team and ensure their daily/weekly/monthly duties are completed
  • Ensuring that direct reports are delivering as required, optimising performance wherever needed
  • Provide data driven performance and analyse trends
  • Produce reporting against agreed contract KPIs
  • Ensuring systems and processes are in place and operating effectively for responsible workstreams
  • Monitor accuracy of data within the CAFM system and highlight areas of improvement required
  • Maintaining good strong relationships with the customer and all internal stakeholders
  • Ensure accurate daily & monthly reporting to senior management/client
  • Ensure all corrective and reactive works have been correctly recorded within the CAFM system
  • Monitor call priorities to ensure correct SLA allocation
  • Ensure accuracy of billing both fixed fee and additional works
  • Ensure all POs are correctly raised/received
  • Ensure accuracy of Managed Funds are reported
  • Ensuring billing is accurate, complete and on time both internal and external via client portal
  • Organising and drafting Change Management documents
  • Updating contractual documents incl but not limited to Pricing, SIPs, CCNs, reporting templates, escalation procedures, Sub-Contracts where applicable
  • Supporting operational teams with completion of account documentation incl H&S and compliance.
  • Supporting Sub-contractor and Procurement management and performance.
  • Ongoing team development
  • Escalates any major issues appropriately
  • Manage workload re-plan/assign as required in line with demand
  • Training and supervising new employees/tracking and measuring staff performance
  • Producing reports as required to support further improved performance delivery

Essential qualifications and experience of the Business Support Manager:

The Business Support Manager will need:

  • Management across multiple functions
  • Excellent communication and customer service skills
  • Understanding and ability with data management
  • Ability to interpret data to draw on operational insights and advice
  • Strong financial acumen
  • Organisation skills, take a proactive approach to work and demonstrate good time management, working to deadlines and adhering to set procedures efficiently
  • Strong delegation and support skills
  • Team player capable for leading and focusing team members to achieve their objectives.
  • Strong IT systems skills (Excel, Word, Outlook, SharePoint, Planon)
  • Good report writing/production skills
  • Understanding of the Facilities Management industry
  • Working in a fast pace, high profile, critical environment
  • Communicate at all levels with specialists and non-specialists
