Executive Assistant

Executive Assistant required to join a successful property company based in South London.

As Executive Assistant you will be required to primarily provide support to the CEO and COO in their daily administrative needs, including but not limited to: travel management, booking meetings, expense claims, travel claims and communication with internal and external stakeholders.

You will also manage the office in terms of general administrative tasks and front of house duties, alongside dealing with vendors and service providers, ensuring that all items are invoiced and paid on time.

Typical duties of the Executive Assistant will include:

  • Management of administrative duties.
  • Triage stakeholders looking for meeting time and prioritise diary management accordingly for CEO and COO.
  • Occupy the reception desk, receive guests and handle external phone calls.
  • Supporting regular corporate governance meetings through minute taking and action point follow up, and collation/circulation of documents prior to meetings.
  • Handle the company's confidential documents.
  • Manage contracts/vendors and price negotiations for certain admin related aspects.
  • Manage and liaise with IT support and their performance management.
  • Ensure the office environment is in pristine condition.
  • Perform administrative and office support activities, including but not limited to: photocopying, mailing, filing, placing and expediting orders when necessary.
  • Manage office needs & requests, including stationery and other office supplies inventory.

The required experience of the Executive Assistant is:

  • Experience in an administrative/secretarial role within either the real estate sector or similar corporate environment.
  • Exceptional knowledge and experience working with PowerPoint, Excel, Word, and other Microsoft applications.
  • Ability to communicate professionally (written and oral), have excellent command of written English, grammar and strong proof-reading skills.
